Your information
Your employer uses FNA Manager to manage timesheets. That means we hold some information about you. This page is for you, not for them.
Who we are
FNA Manager is a New Zealand company that makes business software. Your employer is our customer. We are not your employer, we do not decide your pay or your hours, and we cannot change anything about your job.
What we hold about you, and where it came from
- From your employer's payroll (Xero): your name, work email address, phone number, job title, employment type, start date and — if you have left — your end date. We received this from your employer. You did not give it to us directly.
- From you, in the portal: the hours you enter, the job each block of time was against, any note you add, and a different email address if you set one for signing in. If you change your name or phone number here, your version is the one we keep, and we send the correction to your employer's payroll so their records match. Once payroll has it, changes made there come through to you again as normal.
- Automatically: when you last signed in, and the network address you signed in from. We keep the address so we can investigate if someone tries to get into your account. Your employer cannot see it.
Why we hold it
To run the timesheet system your employer asked us to run: to show you the right weeks, let you enter your hours, send them to your manager to approve, and let your employer cost their jobs and pay you correctly.
Who can see it
- Your employer — the people at your company with an account, and your manager if you have one.
- People who report to you — if anyone at your company has you as their manager, the portal shows them your name, job title, email address and phone number, so they know who to contact.
- Xero — approved hours are sent to your employer's payroll so you get paid, and so are corrections you make here to your name, phone number or sign-in email, so your payslips and tax records carry the right details.
- Your calendar app, if you choose to add your schedule to it — we give you a private link, and the company behind your calendar (such as Apple, Google or Microsoft) uses it to fetch your bookings from us: the job, its address, the dates and any note. Only you hold the link. Turn it off on your schedule page to stop it.
- Our suppliers — the companies that host our systems and send our email, who act only on our instructions.
- Nobody else, unless the law requires it.
We do not sell your information, and we do not use it to market anything to you.
What your employer can and cannot see
They can see the hours you enter and everything that came from their own payroll records. They cannot see the network address you signed in from.
How long we keep it
Your hours are part of your employer's wage and time records, which the law requires them to keep for seven years. Those stay even after you leave. Your portal sign-in details — your phone number, any personal email you set, and your sign-in history — are removed after you leave.

You can ask us for a copy of what we hold about you, and ask us to correct it if it is wrong. Email william@fnamanager.com.
Some of it we cannot change on our own — anything that came from your employer's payroll has to be corrected by them, in Xero, and it then updates here. We will tell you if that is the case rather than leaving you waiting.
If you are not happy
Contact our Privacy Officer at william@fnamanager.com. If we cannot sort it out, you can complain to the Office of the Privacy Commissioner, which is free and independent.
