Getting started

What is FNA Manager?

FNA Manager is the financial and admin platform for New Zealand trades and construction businesses. It connects to your Xero account and helps you understand your real job costs, track equipment, manage staff, and see your financial position clearly — all in one place.

If you run work as jobs, pay people by the hour and own gear that has to earn its keep, it will fit — whether that is building, civil, landscaping, engineering, agricultural contracting, transport or scaffolding. The parts that are specific to construction, like retentions and progress claims, sit out of the way until you need them.

How do I sign up?

Just click "Try it free" and sign in with your existing Xero account. That's it — no separate registration, no forms to fill out. Your data starts syncing immediately.

Do I need a Xero account?

Yes — it's the one thing we can't work without. Your numbers live in Xero and we read them from there, which is why there's nothing to re-type. If you already use Xero you're ready to go. If not, you'll need a Xero account first.

What happens during the free trial?

You get full access to every feature for two months. No restrictions, no limited functionality. We won't ask for a credit card during the trial. At the end of two months, you can add a payment method to continue — or simply stop using it. No hard feelings either way.

How long does it take to get set up?

Signing in takes a couple of minutes, and your contacts, invoices, bills, employees and assets come across on their own. Then there's a short setup — confirm a few settings, say what your staff and gear cost per hour, and tag your first job. Most people are done inside an hour. After that it's hours each week and keeping your bills tagged to the right job — that's the part that keeps everything else honest.

Features and usage

What can I track with FNA Manager?

Jobs and profitability, equipment costs and utilisation, staff hours and charge-out rates, invoices and bills, bonds and retentions, and your overall financial position through dashboards and reports. Everything you need to understand whether your business is actually making money.

How does job costing work?

You assign staff hours, equipment, bills, and invoices to each job. FNA Manager calculates the real costs and compares them against what you've invoiced, showing you the actual margin. You can see this at any point during a job — not just after it's finished.

Can I manage my equipment fleet?

Yes. You can track each piece of equipment, see its average actual cost, monitor utilisation rates, and set up reminders for WoF, CoF, test & tag, and scheduled maintenance. You'll know exactly what your gear is costing you — and whether it's earning its keep.

What reports are available?

Your dashboard shows a cash chart with the lowest point your balance is heading for, your profit and loss, and your balance sheet — all pulled from Xero. You also get profit per job, what each machine costs and earns, and how much of your team's time is booked to work.

Xero integration

How does the Xero connection work?

When you sign in with Xero, you give FNA Manager permission to read your accounting data. Your contacts, invoices, bills, employees and assets then come across on their own. The connection uses OAuth2, Xero's official way for other software to connect. You can take that permission away at any time from inside Xero.

What data syncs from Xero?

Coming in: contacts, invoices, bills, employees (from Xero Payroll NZ), assets, your chart of accounts, and your profit and loss and balance sheet.

Going back out: contacts and quotes you create here, timesheets if you turn that on, and retention invoices when you bill them. Everything else is read-only — we don't change your Xero behind your back.

Is my Xero data safe?

Yes. We use encrypted connections (TLS), follow security best practices, and only access the data you've authorised. We only share your data with the services needed to run FNA Manager (like Xero, our payment processor, and our hosting provider). We never sell your data. We're a New Zealand company subject to NZ privacy law. You can revoke Xero access at any time from your Xero settings.

What Xero plans are supported?

FNA Manager works with any Xero plan that includes API access. If you're using Xero for your business accounting, you should be good to go.

Billing and account

How much does it cost?

$289 a month plus GST. That's the only price — there's one plan and everything is in it, however big your team gets. Your first two months are free, and we don't ask for a card until they're up.

Can I cancel anytime?

Yes. There's no contract and no lock-in. You can cancel at any time and you won't be charged again. We'd rather you stay because FNA Manager is useful, not because you're stuck.

How do I pay?

Billing is handled through Stripe, which supports credit and debit cards. You'll be prompted to add a payment method at the end of your free trial. Stripe handles your card details securely — we never see or store your card number.

Can I have multiple users?

Yes. Anyone in your Xero organisation who needs access can sign in with their Xero account. Your subscription covers your whole team.

Do I need a credit card to start?

No. Sign in with Xero and you're away. We don't ask for payment details until your two months are up.

What happens when the free trial ends?

We ask you to add a card. We never charge one you haven't given us, and nothing is taken automatically when the trial runs out. Once you do subscribe it bills monthly until you cancel. If you'd rather not carry on, your account is paused and your data is kept for 90 days in case you change your mind.

Is GST included in the price?

The $289 a month is plus GST. Your invoice shows the GST separately so you can claim it back.

Is there a contract or lock-in?

No. It's month to month, with no exit fee and no phone call to make. We'd rather earn your business each month than tie you to it.

What if I have more than one Xero organisation?

You can connect several and switch between them inside the app. Each organisation is billed on its own.
